Do I have to change my accounting software?
No. Pay My Business sits alongside what you already use. Xero connects directly — invoices and payments reconcile automatically. QuickBooks is on the way. Using something else? Register your interest and we’ll prioritise it. Either way you’re not locked out in the meantime: bring your customers in from a CSV export, and if you’ve invoiced somewhere we don’t connect to yet, upload the invoice and we’ll still collect it for you.
How long does it take to set up?
Minutes, and you do it yourself — there’s no sales call and no onboarding queue. A guided setup walks you through your logo, business details, payment terms and how you get paid. Most people are sending their first terms of trade the same day.
Do I need a merchant account or payment gateway already?
No. Your payment account is set up for you as part of onboarding — there’s nothing to arrange beforehand and nothing to configure yourself. Payments settle into your own bank account: we never hold your money.
What happens when the 7-day trial ends?
Nothing is charged automatically — we never ask for a card, so there’s nothing to cancel and no surprise invoice. You can still log in after day 7, you’ll just be prompted to pick a plan before you can carry on using it. Your account and everything in it is waiting for you when you do.
When do I actually get paid?
Funds settle directly into your own bank account, within two business days at most — we don’t sit in the middle of your money.
Can I use my own terms of trade?
We generate them for you — tailored to your business and to whether you’re billing consumers or other businesses — and we keep them current as new legislation lands. That’s deliberate: they’re the same terms we rely on ourselves, they’ve never been beaten in court and they’re flexible enough to cover just about anything you’re likely to need. If you’ve already had your own drafted and you’d rather talk it through, get in touch and we’ll go through it with you.
Is there a lock-in contract?
No lock-in. Plans are monthly, and you can change plan or stop when it suits you.
Do my customers need an account or an app?
No. They click a link, read your terms, sign on the screen and add a payment method — on their phone, no app, no password. If they come back later there’s a self-service portal they get into with a one-time email link, where they can see their invoices, pay a balance and manage their saved cards.
How safe is my data and my customers’ card details?
Card details never touch our servers. They’re captured directly by PCI-certified payment infrastructure and we only ever hold a token that can’t be used anywhere else. Your documents and data are stored in Australia.
Can I bring my existing customers across?
Yes, and you shouldn’t have to reformat anything to do it. If you’re on Xero, import your contacts directly. Otherwise upload a CSV in whatever shape it came out of — we’ll work out which column is the customer name, which is the email, which is the ABN and so on, whether it’s an export from your accounting system or a spreadsheet someone’s been keeping by hand. You can do a dry run first to see exactly what would be created before anything actually is.
I’m not a tradie or an accountant. Is this for me?
Yes. If you sell to anyone and don’t get paid up front — anything other than retail, basically — then this is for you. Without the right credit process you’re an interest-free, agreement-free bank, and your customers decide when you get paid. With one, you decide. It makes no difference whether your customers are consumers, other businesses or both — the plans are built around who you bill, not what you call yourself.
What if a customer disputes a payment?
In practice, most disputes never make it that far. Someone who was never really planning to pay you takes one look at signed terms of trade, an ID check and a card on file, decides you’re too hard and finds an excuse to walk away before the work starts. That’s the point — the process filters them out at the front end, when it costs you nothing but a quote. And if someone does get through and disputes it later, you’re holding about the strongest position you can: signed terms, the IP address and timestamp of the signature, a photo of them signing if you asked for one and a record of exactly what they agreed to and when.
